Cyberspace

Did you know that you could have an office in cyberspace?

Seriously, it’s totally possible. It’s called a Virtual Office. All you need is a computer and an internet connection and you’re all set. You don’t even need a spaceship, training or a helmet, just connect and go.

It really is that simple. People all over the world are freeing up their schedules, their work environments, even their lives by working from practically anywhere in the world. It’s remarkable and very easy.

What equipment do I need to set up a Virtual Office?

All you need is a laptop, a mobile or a tablet and access to the internet. Nowadays you will find free access to a wifi connection wherever you look. You may need to ask the proprietor for a code and possibly sign up using an email address but once you have made a connection your devices should remember the details making life easier if you choose to re-visit.

Can I run my business from a Virtual Office?

Yes, you can, you will obviously need the equipment listed above plus some extras. The extras are software downloads and apps that will help you to work smarter. Think of them as tools for the job. We would suggest that you use a cloud based solution called Office 365.

What is Office 365?

Office 365 is a subscription plan that includes access to Microsoft Office. Via Microsoft Office you can get your emails, your calendar and your files. You can choose various packages to suit your needs. Office 365 Business Essentials allows you to work online and Office 365 Business Premium gives you the desktop applications of office without having to pay upfront for the software. Both subscriptions give you access to your emails and video conferencing via skype. With Office 365 you really can work from anywhere whenever it suits you.

What about my business don’t I need a fixed abode?

No, you don’t need a fixed abode but you do need a Registered address. Your Registered Address is the place where you will receive correspondence from HMRC and other legal entities. You can choose to use your home address; your accountants address or you can purchase an address of your choice. Buying a Registered Address allows you to choose where you want your business to be located e.g. you may need an address in London.

Why using your home address as your business address might not be the right decision

What are the advantages of working in cyberspace?

  1. Work from anywhere – whether it be on the side of a mountain, on holiday or just from the park you can work anywhere you choose
  2. No commuting – you won’t need to travel daily to a fixed address and if you choose to work from home then think of your short commute from the bedroom to the lounge
  3. Flexibility – by working from anywhere you will have greater flexibility. You can choose when to work, whether you are on the move or at home
  4. Less overheads – renting or leasing office space can be very expensive by choosing to have a virtual office you will save money
  5. Productivity – the sense of freedom and happiness you will experience from being free will make you more productive
  6. Less carbon footprint – travelling less will reduce your carbon footprint which is good for you and great for the environment
  7. Save Time and Money – you will save both time and money

What are the disadvantages of working in Cyberspace?

  1. Concentration – working anywhere other than in a dedicated office can be very noisy, especially if you choose to work in a café or a bar. Try to find a quiet place to work, avoid busy times ie lunchtimes and if you find a place that gets noisy you can always move
  2. Security Issues – working via someone else’s wifi can lead to your PC getting infected with a virus. Always ensure that your laptop or tablet has anti-ware installed and that updates are kept up to date
  3. Always available – your office goes where you go. Every ping of the phone will have you checking to see who it is and what they want. During your day set aside time where you can turn off your laptop and mobile and have a moment for yourself
  4. Lack of camaraderie / loneliness – nothing can replace the water cooler moment, chatting and gossiping with your fellow colleagues. Try to contact someone every day for a chat
