TAKING OUR SUBSCRIPTION SERVICES
In order to set up your account we have a one-time non-refundable administration fee of £25 + VAT. This one-off fee sets you up on the extensive boffix ecosystem as well as covering 3rd party costs to companies such as Veriphy (to meet the Anti Money Laundering Act). Once you are on, you can simply switch on services as required. This fee also covers 3rd party anti money laundering and identification checks, which may need to be completed before your service can commence.
Subscription terms per service
In order to produce year end accounts, you will be required to have completed, or paid for in advance, a full 12 month subscription. (or cover costs equal to the same value)
You are free to move up and down through all subscription levels. In all instances, there is a charge equal to 1 month of the new additional subscription fee. When reducing your subscription additional termination terms apply to meet the costs of closing down services. Changes to subscriptions can only be made by users you have authorised
First payment of services is to be made by credit/debit card. All subsequent payments to be by direct debit billed one month in advance. All services require cleared funds before the service can commence. If you do not wish to pay by direct debit, there is an administration cost of £25 per month. By committing to automated Direct Debits, we can ensure payments run as efficiently and cheaply as possible. If for any reason your direct debit is refused at any point during your subscription, all boffix Services will be suspended until your account is brought up-to-date. This will include payment of all charges incurred by boffix plus our administration fee of £25 per refusal. If we are not notified within 14 days that you wish services to resume, then all data held will be deleted as per our DATA RETENTION POLICY, and your service will be terminated. All termination fees due become payable at that point. For paid for support e.g. HR, PA, IT, each interaction/task is for a minimum duration of ½ hour anything over will be rounded up the next ½ hour block.
3rd PARTY CHARGES
We run a low-cost operation and keep tight control of costs, however whilst being able to manage our own cost structures, we do need to pass on 3rd party price increases which out of our control. You will be notified of the cost increases shortly after we are informed, and we will apply the new charges at the next billing cycle.
You will need to commit to a subscription and complete the documentation request as part of the onboarding exercise, boffix cannot act on your behalf or set up a service without taking you through the on-boarding process due to legal requirements from bodies such as HMRC. If all the information we require is provided promptly, we can have you set up in less than 48hrs.
On-boarding consists of a telephone call taking you through specific requirements. This will include identifying your call handling requirements, collecting data from you such as details from your passport to enable boffix to complete anti-money laundering checks, KYC and a risk assessment. Based on the outcome we reserve the right to cancel our agreement and funds already paid are returnable minus our admin fee.
Our client service team are on hand during normal working hours 9am – 5pm Monday to Friday. We are closed on Bank Holidays and from 15:45 on Christmas Eve & New Year where they fall on a working day.
TERMINATING YOUR SUBSCRIPTION
We will be sorry to see you go but we won’t hold you back. We require monthly subscriptions to be cancelled with one full months’ notice period (unless we are notified before a new month starts, your notice period could last for longer than a month, but will be no longer than 2 months less a day). Cancelling is easy, please email firstname.lastname@example.org and ask to cancel your subscription. Once the notice period is over a fee is due equal to two months of the current subscription plus any 3rd party fees and costs such as Microsoft 365 licences.
